How ZuraTM addresses your most critical problems

Critical Problems

Invoicing and Payroll Delays

Situation – More often than not, consultants submit their timesheets after the deadline. Also common are scenarios where they forget the submission altogether. Companies will have to either constantly follow-up with consultants or rely on third-party bulk email providers to send reminders.

Solution ZuraTM is built to send out automated and timely notifications and reminders to the consultants.

Timesheet Processing Complexity

Situation – Each client prescribes their own unique timesheet format, such as PDFs, Excel sheets, scanned images, and more, with varying attributes. Companies manually read, interpret, and validate each timesheet, which is slow, labor-intensive, and prone to human errors.

Solution ZuraTM leverages OCR and AI-driven data extraction, applying customizable validation rules to ensure accuracy, compliance, and quick validation and can read and ingest data from multiple sources in multiple formats.

High Cost of ATS and HR Systems

Situation – Investing in third-party applications like ATS, HR systems can be expensive for startups and SMBs. They usually rely on spreadsheets or Google Sheets to manage their data needs. However, these tools are limited and cannot integrate seamlessly with other key applications of the ecosystem.

Solution ZuraTM’s consultant master data import module lets you upload your spreadsheets directly and supports mapping of your custom attributes to our system’s fields, thereby simplifying timesheet processing.

Overbilling and Unauthorized Payments

Situation – One of the key challenges of staffing companies is when consultants submit timesheets even after the contract expiry. Other common scenarios include timesheet entry during invalid hours, holidays, weekends, and so on. This may lead to billing disputes with your clients or payroll errors for your consultants or even both.

Solution ZuraTM embeds smart validation so that only valid dates and work hours are submitted. It also checks for compliance with contractual terms, holidays, & weekends. Contract status is monitored in real-time and timesheet submissions are blocked post expiration.

ZuraTM - FAQs
What is ZuraTM?
ZuraTM is a timesheet management platform that uses AI, Automation, OCR and Computer vision to automate and enhance timesheet processing. This platform helps staffing companies solve operational challenges related to timesheet processing and helps them achieve faster approvals, zero errors, improved compliance, timely invoicing and payroll, and real-time performance insights.
Does ZuraTM replace my existing tools?
No, ZuraTM doesn’t replace any of your existing tools. On the contrary, it integrates seamlessly into your ecosystem and enhances the efficiency of your timesheet workflows using automation.
We use an ATS to manage my consultant data. How does ZuraTM help me?
ZuraTM integrates with any industry standard ATS. You will be able to pull the data from your ATS to the ZuraTM platform with just a few clicks.
We use spreadsheets. Isn’t that good enough?
Spreadsheets are a good option when you must manage a limited number of consultants. However, as you scale and onboard more people, managing data using spreadsheets turns into a cumbersome and error-prone process. You may experience several challenges related to errors, compliance, data security and historical data.
Lot of my time gets spent on following up with consultants to submit their timesheets. How can you help?
It is a common challenge faced by several operations managers in staffing companies. Some of them use third-party email blasting tools to send out reminders to their consultants. However, that comes with additional costs and efforts. Using ZuraTM, it is possible to set up automatic reminders for your consultants before the submission due date. In addition, you can also set up automated emails notifying of successful / unsuccessful / partially successful timesheet submissions.
Our consultants work for multiple clients, and they use a client prescribed time management system. Why do we need ZuraTM?
There is a high probability that each of your clients use a different timesheet format. You will still need to extract this data and reconciliate it. With ZuraTM in picture, the timesheet is ingested from different formats and processed.
Our consultants are based out of different locations with varying pay frequencies and pay dates. How can ZuraTM help me?
ZuraTM has an inbuilt payroll calendar configuration feature that allows you to preset the pay cycle, pay date and timesheet submission cut-off date. Using this you have visibility into the consultants that need to be payrolled for any particular date during the month.
Our clients are in different states, and they have varying invoicing calendars. Can ZuraTM help me?
ZuraTM has an inbuilt invoice calendar configuration feature that allows you to preset the invoice cycle, billing date. Using this you have visibility into the clients that need to be invoiced for any particular date during the month.
Our consultant's pay and bill rates are revised annually, and we currently update invoices and payroll manually each month to reflect the latest rates—can ZuraTM automate or streamline this process?
Yes, with just a few clicks, you can update each consultant’s pay rate and bill rate in ZuraTM, and the latest rates get reflected for invoicing and payroll, eliminating the need to cross verify every cycle.
We have instances where duplicate timesheets are submitted into our systems. How can ZuraTM eliminate this?
ZuraTM has a backend monitoring agent that purges all the duplicate timesheets ensuring that the timesheet data is always clean.
ZuraTM seems to be an AI tool. Does it replace some of our existing teammates?
No. ZuraTM has been built NOT to replace people but to empower them operate more efficiently. The platform has been built to have a “human-in-the-loop” component where your team’s intervention is still needed. ZuraTM only does the heavy lifting for you. In addition, since manual work is out of your way, your team can now focus on better critical tasks that impact your company’s top and bottom lines.
We are worried about the security of our consultant data.
ZuraTM integrates with your data sources and pulls in the data required strictly for timesheet processing. In addition, all the processed timesheets are archived at a secure location of your choice (Dropbox, SFTP, AWS S3) ensuring the data is available for audit purposes.
What is the unique aspect of ZuraTM?
While ZuraTM predominantly enhances the efficiency of your timesheet processing, it gives you a real time pulse on your business with respect to changing margins, revenues, costs, invoice amounts and other key financial and operational metrics.
Our consultants use Dropbox to upload their timesheets. How does ZuraTM add value there?
ZuraTM grabs the timesheets from Dropbox, ingests the data, auto-approves most of them and pushes the consolidated report to your payroll / invoice / archival systems. Everything happens seamlessly and transparently. Apart from Dropbox, ZuraTM can seamlessly integrate with your SFTP, AWS S3, or your shared mailbox as well.
All the processed timesheets are now being pushed to a local folder. What is the problem with this practice?
You will be required to manually perform this task. In addition, local folders present the threat of data security. The best way to do it to push it to other secured data archival locations such as Dropbox, AWS S3, FTP etc so that the data is available for audit and litigation situations.
